Circle Complaints & Reporting Policy

This policy explains how to report content or conduct, how to raise a complaint, and how Sovium Ltd (registered in England and Wales as SOVIUM LTD, company number 16837739, registered office Bmlg.02, 10 Barley Mow Passage, London, England, W4 4PH) ("we", "us", "our"), trading as Global Mobility Circle ("Circle"), handles them.
It should be read together with the Platform Terms, Provider Terms, Agent Terms, and Privacy Notice. Capitalised terms have the meaning given in the Platform Terms.

1. What this policy covers
This policy covers:
- reporting content on the Platform that is unlawful or breaches our Terms (section 3);
- complaints about another Member's conduct (section 4);
- commercial disputes between Members, and the limits of our role (section 5);
- complaints about how we handle your personal data (section 6);
- complaints about Circle or our service generally (section 7).
You can raise any of the above by emailing membership@globalmobilitycircle.com, and, where an in-product reporting option is available, by using that option.
2. How to make a report or complaint
When you contact us, please include, where you can:
- what the report or complaint is about;
- the people, organisations, content, Request, or Deal involved (where relevant);
- what happened and when;
- any links, references, or other details that help us understand the issue;
- what outcome you are seeking.
This helps us assess and respond to your report efficiently.
3. Reporting content (illegal or in breach of our Terms)
3.1 If you become aware of content on the Platform that you believe is unlawful, or that breaches our Terms (for example, content that is infringing, defamatory, harassing, abusive, threatening, or that discloses confidential or end-client information), please report it to us using the contact details above or any in-product reporting option.
3.2 When we receive a content report, we will review it and decide what action is appropriate. Depending on the circumstances, we may:
- remove or restrict the content;
- restrict, suspend, or terminate the account responsible;
- take no action where the content does not breach the law or our Terms;
- refer the matter to the relevant authorities where appropriate.
3.3 We aim to acknowledge content reports promptly and to act on them within a reasonable time, taking into account the nature and seriousness of the content reported. We prioritise reports of unlawful content.
3.4 We may keep records of reports and of the action we take.
4. Complaints about another Member's conduct
4.1 If you believe a Member has breached our Terms or Circle Standards (for example, by misrepresentation, breach of confidentiality, scraping or misuse of data, harassment, or unprofessional conduct), you can report it to us.
4.2 We will review the report and may take action consistent with the Terms, including a warning, restriction, suspension, or termination of access, and the recording of the matter for moderation purposes.
4.3 Action we take in relation to conduct is about protecting Circle and enforcing Circle Standards. It does not determine, award, or enforce any remedy between you and another Member.
5. Commercial disputes between Members
5.1 Circle is not a party to any Deal, transaction, or contract between Members. We do not handle funds, and we do not charge commission on Deals.
5.2 We do not arbitrate, mediate, adjudicate, or enforce commercial terms, payments, commissions, white-label arrangements, scope, or deliverables between Members. Members are responsible for resolving commercial disputes directly with each other and with their own clients.
5.3 Where a commercial dispute involves a breach of our Terms or Circle Standards (for example, fraud or serious misconduct), you may report it under section 4. In those cases, our role is limited to protecting Circle and enforcing Circle Standards; we do not provide a remedy in the commercial dispute itself.
5.4 We encourage Members to set clear written terms with each other at the outset of any Deal, and to carry out their own due diligence.
6. Complaints about how we handle your personal data
6.1 If you have a concern or complaint about how we collect, use, or protect your personal data, please contact us at membership@globalmobilitycircle.com, marking your message for the attention of data protection.
6.2 We will acknowledge your complaint, investigate it, and respond to you. We aim to acknowledge within a few business days and to provide a substantive response within one month; if a complaint is complex and we need more time, we will tell you and keep you informed.
6.3 We may need to verify your identity and ask for further information to investigate.
6.4 You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk. We would, however, appreciate the chance to address your concern first.
7. Complaints about Circle or our service
7.1 If you are unhappy with Circle or our service, please contact us at membership@globalmobilitycircle.com with the details set out in section 2.
7.2 We will acknowledge your complaint, look into it, and respond within a reasonable time. We aim to acknowledge within a few business days and to resolve complaints within one month where possible; if we need longer, we will let you know.
8. Our approach
8.1 We handle reports and complaints fairly and proportionately, and in line with our Terms and applicable law.
8.2 We may ask you for further information, and we may need to share relevant information with affected parties, service providers, advisers, or authorities, in accordance with our Privacy Notice.
8.3 We treat reports and complaints, and the people involved, with appropriate confidentiality, consistent with the need to investigate and act.
9. Changes to this policy
We may update this policy from time to time. The updated version will be posted on the website with a new effective date.
